Club reports and AGM

AGM 2009

The 88th Annual General Meeting of the Club will be held in the pavilion on Saturday 18 July 2009 at 2.30pm followed by afternoon tea. We would appreciate your attendance and support.

President Bob's report to the Annual General Meeting:

The summer season has been and gone all too quickly but we all have enjoyed great tennis and a lot of fun. I take this opportunity to welcome all new members who have joined us during the season and hope that you have enjoyed the camaraderie which is a hallmark of our club.

My thanks to Sheila Paisey our hardworking secretary, Paul Conner our treasurer, Vaughan Penny the clubs grounds man and all committee members who do a great job in running the club throughout the season.

A special thank you to Theo Degen for his efforts in obtaining grants which enable us to provide coaching for the juniors, tennis balls and maintenance for the club,Club Coach Graeme Doerner has had excellent results this season with the juniors. All the teams have played well.

Social events have been a little quiet this year but the club dinners have been well attended and the closing dinner in the club house a rousing success.

The AGM will be held in the club rooms on Saturday the 18th July at 2.30pm followed by afternoon tea.

Treasurer Paul's report to the Annual General Meeting:

Senior subscriptions have increased this year and we have been fortunate to gain two new sponsors in St Martins Pharmacy and AMI Insurance.

Interest expense has significantly reduced due to the restructuring of the bank loan.

$4,000 was raised from two successful grant claims.

Junior coaching hours have more than doubled despite no net increase in membership (60 members this year, 58 members last year).

There was an increase in junior subscription fees income this year; however this would appear to be because of a lack of control over collection of cash in the prior year.

I recommend the following to the committee:

1. Junior coaching expenditure should be carefully controlled so that it is limited to no more than the total of grant and junior subscription fee income.

2. A detailed and complete ledger should be set up and maintained to manage collection of junior subscription fees.

3. The club should aim to achieve a contribution of $5,000 per year ($75,000 over 15 years) in order to self fund court maintenance.

St Martins Valley Tennis Club is now Silver ClubMark Accredited

The ClubMark award recognises that the St Martins Valley Tennis Club has the necessary components and systems in place to operate efficiently and effectively and this explains why the Club continues to provide the high standard of services to its membership.

The club earned the award in 2006 after putting in place any outstanding policies the ClubMark coordinator, who is based at Sport Canterbury, deemed necessary to reach the Silver level.

ClubMark covers a wide range of criteria which includes planning, financial planning and sustainability, volunteer, coach and umpire management, acknowledgement and education. ClubMark encourages the club to engage the community and local schools in activities while promoting the Smokefree message, responsible alcohol use and provide healthy food at club events.
